How do I plan and execute a campaign in Grassroots?

Plan, Draft, and Launch Campaigns

Grassroots allows you to create and save any campaign as a draft.  In the draft status, you can go back to the campaign and edit any of the fields as well as send out as many test messages as you need, before fully executing the campaign.  Once the campaign is fully executed, you will not be able to make any further changes.  This article explains how to create a draft campaign, in the plan section. 

1.  On the navigation tab, click on 'Campaigns' tab. 

2.  Click on 'Create Campaign' button.

3.  You must fill out the following fields in order to navigate to the next page:

  • Campaign title
  • Client
  • Campaign type
  • Contact list

4.  If you need to add a suppression on the campaign, select 'Yes'.

5.  Select any contact lists for suppression or select a state or area code to suppress.

 Please note: you can use a combination of contact list and state/area code suppressions.

6. If you want to find out how many messages will be going out, click 'Calculate Campaign Volume' and system will display how many messages will be scheduled for the campaign.

7.  Once you have planned out the campaign, either click 'Next' button to navigate to the next section or click 'Save Draft & Exit' to come back to it at a later time. 

Build Your Campaign
 

1.  In the Build section, the following fields are required:

  • Message
    • Please note:  we have implemented SHAFT compliance and any message that contains profanity or hate speech will be flagged.  The system will not allow you to continue with campaign creation until the message content is modified.
    • For SMS campaigns, system will give a warning if the message will result in more than 10 segments and will stop you from completing the campaign creation.  You can either adjust the message content or switch to MMS campaign.
  • Campaign scheduling 

2.  If you want to include two way conversations for this campaign, check 'Enable Two Way Conversations' checkbox. 

3.  On the right side of the message box, all available custom data points will be displayed and you can select as many as you need.  

4.  To include click tracking, check 'Enable Click Tracking', add destination URL and select a shortened URL.  You can also include unique link identifiers by checking the 'Enable deep links'. 

  • Please note:  the selected contact list has to include unique link identifiers as a custom data point in order for that functionality to work properly. 

5.  Time zone prioritization is automatically enabled on campaign creation.

  • When enabled, the system will group and send out messages based on the recipient's time zone.  With EST being the first time zone and PST being the last. 
  • If you don't want the messages to be prioritized by the time zone breakout, disable the time zone prioritization.

5.  Once your campaign is build out, you have two options for scheduling it:

  • Single day campaign:  select start date/time and end date/time.
  • Multi-day campaign:  select start date/time and future end date/time.  You can set the end date up to 2 days into the future. 
    • For multi day campaigns, messages will go out during the normal daily sending window (8 AM - 9 PM).  After the sending window closes for the day, sending will pause and campaign status will change to 'Queued'.  Any remaining campaign messages will automatically start sending the following day at 8 AM. 

6.  Once you have your send date and time selected, click 'Next'. 

Preview and Execute Your Campaign
 

1.  On the preview page, you can select all of the test numbers assigned to the client to send out test messages.  

2.  If you do several rounds of test messages, the system will display the results for the latest batch of the test messages.

3.  Once you are ready to make the campaign live, click 'Save & Execute' button.
